  • Need to enroll in or change your benefits? Sure, we’re happy to help!

    You’ll make elections or changes in WORKDAY for all benefits except the 401(k) (those elections are made on the T. Rowe Price website) and Home, Auto, or Pet Insurance (those elections are made through YouDecide).

    For the benefits you elect or change in WORKDAY:

    1. If you are making your first elections as a new employee, as a status change from part-time to full-time (or vice versa), or making elections during the annual open enrollment period, look in your WORKDAY Inbox for the task to complete your elections.

    2. If you are making changes to your benefits due to a midyear life event, such as a marriage, birth, or change in spouse’s employment, or you need to change your Life insurance beneficiaries, select the Benefits application after logging in to WORKDAY. Select the reason for your change and the date, and follow the remaining prompts to submit your elections or changes.

    Refer to the How to Make Benefit Elections or Changes in Workday job aids for step-by-step instructions to make these changes in WORKDAY.

  • Want to see how many vacation or flex days you’ve taken this year, or want to check your remaining balance?

    Just log in to Workday and select the Time Off application. Tip: to see the number of vacation days you will earn for the entire fiscal year, select Time Off Balance and enter the “as of” date with the last day of the fiscal year (3/31).

    Need more information? Login to the MyMaritz employee Intranet site and search for the Vacation Policy to find details such as the number of vacation days earned for each year of service, carryover or payout rules, and more. Or search for the Absence Policy to get additional details regarding your Paid Flex days.

  • For all types of leave:

    1. Inform your Manager of the dates you’ll be out and any extensions - they need to plan for your workload while you are off work.

    2. Email Karen.Banderman@Maritz.com in the Benefits department and provide her with the start date, estimated time out, and the type of leave (your own disability for surgery, illness, or having a baby, bonding with a new child, caring for sick family member, or military leave). Notify her of your return to work too. She will make sure you are paid the correct benefits while you are on leave and enter your leave dates in Workday.

    If your leave will be a military leave of absence, also review the Military Leave policy on MyMaritz.

    If you need to take a leave of absence because you’re having a baby, adopting, need surgery, are ill, or need to care for a sick family member, you will also need to file a disability or FMLA claim with Lincoln Financial – the instructions for these types of leave are located on this website, under Income Protection > Disability or FMLA (you’ll find a link to the instructions in the PDFs column).

  • Children are eligible to remain covered on your Maritz benefit plans through the last day of the month in which they turn age 26.

    For the medical, dental, and vision plans, this applies even if they are married or eligible for other coverage.

    However, for Life, AD&D, Accident, Critical Illness or Hospital plans, married children or those on active military duty are not eligible.

    If your child is over 26, but disabled and totally dependent upon you for their care, contact Benefits@Maritz.com to see if they are eligible to remain on your plan as a disabled dependent.

    Important Note: Although your child can remain on your benefits until they turn 26, the IRS only allows you to use your own HSA funds to pay for qualified medical expenses for dependents you claim on your tax return.

  • In Workday, select the Pay Application.

    External Links > Maintain Withholding Allowances (BSI) > Forms.

    Scroll down until you see the link to the federal or state form and select the one you wish to change.

  • Refer to the New Hire Guide on this site, and the New Hire FAQs. Those resources, along with the other pages on this site, should answer most questions you have. If you still have questions after reviewing that information, contact Benefits@Maritz.com for further assistance.

  • If you were a participant in the Maritz Retirement Plan at the time it was frozen in 2007, you can check your current balance in Workday.

    Click on your picture in the upper right corner and select View Profile. Select Benefits in the left blue column, and then click on Additional Data at the top. Scroll down until you see the Cash Balance Table.

  • Yes. If you are adding a family member for the first time (or the Benefits department does not have these documents on file from a prior enrollment), you will need to email a copy of the following documents to Michelle.Konakci@Maritz.com within one week after making your elections:

    For a spouse - marriage certificate

    For a child - birth or adoption certificate, or legal document from a court showing you have legal guardianship. For a step-child, we’ll need a copy of the child’s birth certificate and a copy of your marriage certificate showing you are legally married to one of their biological parents.

    If you are changing benefits due to one of the reasons shown below, we will also need additional documentation to verify a qualified change in status has occurred:

    Change in Employment or Benefits Eligibility (such as through a spouse, parent, or prior employer’s plan) - written documentation from the employer showing employment and benefits eligibility has started or ended, including the effective dates of both the employment and the benefits, if effective dates are different.

    Divorce - copy of the first and last pages of the divorce decree (showing names and signatures pages including date divorce is final)

    Medicare/Medicaid Eligibility - copy of Medicare or Medicaid card showing effective date or letter from Medicare/Medicaid confirming the effective date.

    If canceling coverage due to birth or marriage, we will need a copy of the birth or marriage certificate.

    Death - copy of the death certificate.

  • If you are enrolled in the Maritz medical plan and intend to remain enrolled after turning 65, you’ll need to waive both Part A and B of Medicare to continue to be eligible to participate in the HSA for both employee and employer contributions. (IRS rules don’t allow HSA participation if you have any other medical coverage that does not meet the criteria of a “high-deductible” medical plan.)

    Medicare allows you to defer both Medicare Part A and B with no late enrollment penalty if you continue your employer’s medical coverage instead - provided you elect Medicare within the required special enrollment period (eight months) after your employment ends. Note: an exception may apply if you retire within the same year you turn 65. If this could apply for you, check with Medicare to verify when your enrollment windows would start and end before making a decision to defer enrollment in Medicare.

    If you decide to enroll in Medicare Part A or B and remain enrolled in the Maritz medical plan too, you will need to contact the Benefits Team at Benefits@Maritz.com so we can waive your HSA for you. (Workday won’t allow you to waive it from your end).

    If you are enrolled in the Maritz medical plan, but plan to cancel coverage and elect Medicare instead, you have 31 days after your Medicare effective date to submit a change in Workday to cancel your Maritz coverage.

    If you also cover a spouse or children who are not eligible for Medicare, just remember that if you take Medicare and cancel your Maritz coverage, you will be canceling coverage for those family members as well. They cannot remain enrolled if you aren’t covered as the employee.

  • All 401(k) contribution elections and changes are made directly on the 401(k) provider’s website - not in Workday. You’ll also designate your 401(k) beneficiary, request a rollover, choose or change your investment options, view your balance, or submit loan or withdrawal requests on that site as well.

    If you are a new employee, you will receive a welcome email from T. Rowe Price within the first two or three weeks of employment, providing you with information you will need to register as a new user the first time you visit the site.

    Visit T. Rowe Price for all of your 401(k) needs.

  • Both forms can be retrieved by logging in to Workday.

    For W2s:

    Select the Pay Application > under View, select Tax Documents.

    For further assistance, email Payroll@Maritz.com.

    For 1095s:

    Click your photo, top right > View Profile.

    Click the Actions button below your name > hover over Benefits > click View My ACA Forms.

    For further assistance, email Benefits@Maritz.com.

    Note: Forms should be posted in Workday by January 31. However, if the IRS extends the deadline for 1095s to February or March, the forms may not be available until closer to that deadline.
